A five-minute questionnaire is not necessarily a five-minute participant experience. Signing in, finding the right device, understanding instructions, meeting completion windows and recovering from problems all add effort. If those details are assessed late, the study may inherit avoidable usability, support and data-completion risks.
Luminova Labs can assess the end-to-end participant journey, identify burden and usability risks, and translate the findings into requirements, testing priorities and clear actions for the sponsor and eCOA provider.
Request an eCOA burden reviewWhy patient burden becomes a study-delivery issue
A schedule can appear reasonable when each assessment is reviewed separately. The participant experiences the combined schedule: clinic visits, diaries, reminders, devices, caregiver activities and everyday life with their condition. A manageable weekly total can still contain a difficult morning, evening or visit-day cluster.
Friction may appear as missed or late entries, repeated support requests, confusion between participant and caregiver tasks, or difficulty recovering after a lost device or interrupted connection. Finding these risks before launch gives the study team more options than discovering them during enrolment.
What an eCOA burden and usability review should cover
We recommend reviewing the protocol, schedule of assessments, eCOA requirements and participant-facing workflows together. The assessment should consider:
- Daily journey: the busiest participant days, task frequency, duration, sequencing and overlap with clinic procedures.
- Timing: whether completion windows and reminders are workable across sleep, employment, treatment and other study activities.
- Access and inclusion: reading, vision, dexterity, cognition, digital confidence, device access and language needs for the intended population.
- Roles: clear separation of participant, caregiver, observer, clinician and site responsibilities.
- Recovery and support: what happens after a missed entry, forgotten credentials, lost device, connectivity failure or interrupted task.
- Device and deployment: BYOD versus provisioned-device assumptions, charging, replacement, shipping and local support.
- Duplication: repeated questions or data collection whose scientific or operational purpose needs confirmation.
How Luminova can support your team
Depending on the study stage and scope, we can support:
- a structured participant-journey and burden assessment based on the protocol and schedule of assessments;
- review of participant, caregiver and site workflows across the configured eCOA experience;
- identification of critical tasks, accessibility considerations and support dependencies;
- translation of findings into study requirements and decisions for the sponsor and provider;
- separation of usability questions from functional UAT checks;
- usability scenarios, UAT priorities and traceability expectations; and
- an actionable findings register with evidence, risk, owner and proposed next step.
The review can be used during protocol and eCOA strategy development, before configuration approval, during UAT planning, or when an amendment changes the participant experience.
Keep scientific fit, usability and UAT connected—but distinct
The first question remains what the assessment needs to measure and why. FDA’s final October 2025 guidance addresses selecting, developing or modifying clinical outcome assessments for their intended use. A burden review should protect that scientific intent while examining whether the study can deliver the assessment appropriately for the intended participant population. FDA PFDD Guidance 3.
Usability testing examines how intended users interact with a system. UAT checks whether the configured study meets its documented requirements. C-Path distinguishes these activities and recommends close sponsor–provider collaboration and a clear UAT plan. A reminder can fire at the specified time and pass a functional check while still being difficult for participants to notice or understand. C-Path eCOA FAQs.
Technology helps organise the evidence; study context drives the decision
Pragma Clinical’s eCOA UAT & Usability module can support study-context extraction, user journeys and requirements linked to test cases. Luminova combines this technology with clinical technology expertise and human review so findings are assessed against the protocol, participant population and delivery model.
Share the protocol, schedule of assessments and available eCOA requirements or screen flows. We can help identify where the participant journey needs clarification, evidence or focused testing before launch.
